It's years ago, and this pilot fish is a developer working for a small company. "Staff consisted of a few programmers, an office manager, a tech secretary and a part-time bookkeeper who's also the office manager's live-in boyfriend," says fish.

"Things were going as smoothly as could be expected until the boss left on an extended overseas trip."

Actually, things still go pretty smoothly: Invoices are paid, checks are written, and regular e-mail keeps questions answered. But fish notices that the bookkeeper is acting a little strangely -- and he's carrying a backup tape with him every time he leaves the office, even for a few minutes.

Since fish also serves as the company's sysadmin, he takes an opportune moment to check the bookkeeper's computer. There are no financial records on the hard drive, but he does find a very high-quality data wipe program installed.

"Since the bookkeeper wasn't a computer geek, this seemed a rather unusual program for him to have installed," fish says. "Adding in the missing data files, I felt a bit worried and decided to take a proactive approach."

So fish waits until the bookkeeper is back at work, and then copies all the accounting files over the network to his own hard drive. From there, he copies them to an experimental magneto-optical disk drive he's been evaluating.

Finally, fish looks over the accounts payable and check records -- and he doesn't recognize several "suppliers" who have submitted invoices. "Remember, this was a small operation, and I pretty much knew where things came from," says fish. "Maybe not down to the last box of paper clips, but paper clips don't cost that much.

"That evening, I stayed late and placed an overseas call to the boss while waiting for an after-hours locksmith.

"A few days later, the office manager had moved in with her mother, the bookkeeper had been arrested for assault, and I had a cut over my eye -- but I didn't look as bad as the bookkeeper.

"Two decades later, I find the magneto-optical disks while discarding old 5 1/4-in. floppies.

"The memories make the scar itch."

Let me see if I got that straight. Boss is overseas necessitating an overseas call and the next day an IPO is going to be announced while the boss is overseas? Sorry, I don't buy that one. I think B Barry certainly does not look too good here and why wipe files unless you are looking to "enhance" the financials a bit?

Recently happened to a doctor friend of mine; he finally started wondering why he was doing so much more work (oby-gyn) and not making any more money. Turns out that his office manager (who was now an EX-friend) had skimmed over $1 million from his practice over the last couple of years. Made the evening news.

Discussed this with some lawyer friends; apparently doctors and dentists are trusting souls, and this happens to them a lot. Being smart in your specialty doesn't make you smart in other areas. You hire specialists to do the stuff you can't/won't do.

However, that old "Trust, but verify" thing always needs to be there. If nothing else, hire a suspicious person to be your office manager, to watch the bookkeeper/accountant.

And get an independent audit once a year....

Why is everyone assuming

Why is everyone assuming that it wasn't a two-signature system? Sounds to me like the office manager and the bookkeeper were partners in crime. Who better to delegate invoice approval to than the office manager?

being such a small company,

being such a small company, the bookkeeper was probably confronted by fish in person (or the boss by phone)... if the boss confronted, the bookkeeper knew who snitched... either way, fish was assaulted, and bookkeeper was fired... and the relationship with the office manager was broken once she found out

...they weren't thinking about pressing theft charges at the time because (being a small company) this was probably the first time they had to think about things like this...

I've worked at several small, 4-person companies... they never expect something to happen until it happens for the first time, then they prepare preventative measures and have the experience to handle things differently the next time

(but... where's the humor in these anecdotes these days? my personal fav was one a few years back about sewage-covered networking equipment showing up on eBay someday... was funny cuz i was posting decommissioned computer equipment on eBay at the time)

Dear B Barry -- never mind what you're full of -- that's obvious. There was no IPO and I was the number two man in the company and privy to everything that was going on. In witness to which, I was the one getting the 1 AM phone calls from New Delhi, Mumbai and various other timezones ... and why I had to call late rather than early.

Years ago I worked as the treasurer for a non-profit. The FIRST thing that caught my eye was a single signature checking account! At the next board meeting, I got this changed to a "two signatures required" account.
